Supplier Quote Comparison: complete guide

What this free planner does
- Common quantity and currency keep quotes comparable.
- Unit prices, freight and fixed fees remain visible beside landed totals.
- Your 0–100 scores and two weights produce an explained comparison.
- Up to 100 editable entries, explicit device saving, JSON backup, CSV and browser PDF printing.
How to use it
- Name the item or specification and enter the quantity you need. Choose one currency shared by every quote.
- Add suppliers with their unit price, freight, fixed fees and quoted lead time. Check whether a quote covers the same specification and delivery destination.
- Score price and delivery from 0 to 100, with higher meaning better in both columns. Enter price and delivery weights; they can total any positive number.
- Calculate and compare costs and scores. Review exclusions, quality, payment terms and supplier reliability separately before making a purchase decision.

How the calculation works
Landed quote = quantity × unit price + freight + fixed fees. Weighted score = (price score × price weight + delivery score × delivery weight) ÷ total weight. Lead days and costs are displayed, but they are not converted automatically into scores. Zero total weight blocks calculation.
Worked example with fictional data
For a fictional order of 100 units, Supplier A quotes USD 2 per unit, USD 25 freight and USD 5 fixed fees: landed cost is USD 230. Price score 80 at weight 60 and delivery score 50 at weight 40 gives (80 × 60 + 50 × 40) / 100 = 68. Supplier B has score 78 in the example, but that only reflects the entered assessments.
Before you save your plan
- Compare the same quantity and currency, including freight and fees in each landed-cost estimate.
- Check your delivery and quality scores against evidence; the highest entered score is not an automatic purchasing decision.
Compare landed costs before changing supplier scores
A fictional packaging order needs 200 identical units in USD. Supplier A offers a lower unit price, while Supplier B includes cheaper shipping. Record all three cost inputs before reviewing your scores.
| Supplier | Unit price | Freight | Fixed fees | Landed quote | Lead days |
|---|---|---|---|---|---|
| A | $1.80 | $65 | $15 | $440 | 10 |
| B | $2.00 | $20 | $0 | $420 | 5 |
The lower unit price produces a higher landed total here. With price and delivery weights of 60 and 40, entered scores of 90 and 40 give A a weighted score of 70. Scores of 80 and 85 give B a score of 82. Those scores are fictional judgments supplied by the user; the worksheet does not derive them from dollars or delivery days.
- Confirm identical specifications, destination and order quantity. Resolve excluded fees before treating a total as comparable.
- Write down what each score means. Apply the same definitions to every supplier and retain the quote evidence separately.
- If the required quantity changes, obtain applicable unit prices and freight again. The planner keeps entered prices and fees; it cannot discover a pricing tier.
- Save a dated backup of the comparison you reviewed. Confirm availability and terms directly before placing an order.
Use the supplier scorecard workflow when reviewing evidence behind supplier performance. After ordering, a purchase order tracker for partial deliveries covers a different task: recording what actually arrives.
Assumptions and common mistakes
This supplier quote comparison worksheet does not verify vendors, select the cheapest suitable product or fetch quotes. Every quote must use the same quantity, specification and currency. Tax, duties, variable freight and exchange rates are not inferred. If one supplier uses a minimum order or tiered price, request a quote for your common quantity before entering it.
Choose score definitions before seeing the final ranking so the comparison stays consistent. A delivery score is your judgment of the quoted lead time, not a prediction of punctual delivery. Include each fee once. Equal scores show all tied suppliers; the tool does not invent a tie-breaker.
Save, restore and export
Add entry creates another record. Edit any field directly or use Remove entry to delete a row. Changing inputs clears the previous report so it cannot be mistaken for current results. Choose Calculate / review results again when your changes are ready.
Save on this device keeps an editable worksheet in this browser only. On a later visit in this browser, your saved worksheet loads automatically. Restore device save can also reload the last save after you confirm replacement. Saving drafts is allowed, but a report requires valid, complete inputs. Download backup creates a versioned JSON file for the same tool. Import backup shows the worksheet label and row count before replacing current work; it does not change the device save until you press Save.
Download CSV exports the settings, summary, row details and calculation notes. CSV is for spreadsheet review; it cannot restore this worksheet. Print / Save PDF recalculates the current entries and opens your browser’s print dialog. Choose Save as PDF where supported. The report excludes navigation, guides and product CTAs. Clear data removes the current worksheet and its device save after confirmation; keep a backup first if needed.
Frequently asked questions
Are lower prices converted into higher scores automatically?
No. You enter both scores yourself on the stated 0–100 scale. Dollars and lead days are never mixed directly into the weighted score.
Do the two weights have to total 100?
No. They must be nonnegative and total more than zero. A 60:40 split and a 3:2 split express the same relative weights.
Can quotes use different quantities or currencies?
This worksheet uses one required quantity and currency. Obtain comparable quotes or convert amounts separately using a documented rate before entering them.
Is this tool free, and does it sync between devices?
All worksheet, saving and export features are free without an account. There is no cloud synchronization. Transfer a JSON backup to another device and import it into this same tool.

Check cash dates after comparing the quote
This worksheet compares a common order quantity; it does not schedule deposits or approve a supplier. For a fictional $1,000 accepted quote with a $300 deposit and $700 balance, keep the total purchase cost at $1,000. Put the two verified payment dates into the Weekly Cash Commitments Planner, using separate weeks when needed.
Before choosing the required quantity, inspect the Reserved vs Available Stock Planner. A current shortfall is evidence to investigate, not an automatic purchase quantity: check open purchase orders, expected demand, lead time and pack sizes separately. Preserve the selected quote version in your order record.
