What is included?

The .xlsx has no macros. There is no native Google Sheets copy or Word file. Browser JSON backups restore into this browser worksheet, not the workbook or a paid app. CSV preserves a report, not an editable backup with formulas.

Use the editable customer order form

Start blank or load the labelled fictional example. Entries stay in this page unless you save or export them. Device storage belongs to this browser; keep a JSON backup for another device. Scroll the item table horizontally on a small screen.

Typed review status is a manual record. It does not verify identity, approve spending, send an order or move money.

How to use the customer order form

  1. Identify the request. Enter a unique order reference, fixed date, seller and customer label. Use the notes for contact or delivery details only when needed, and store the saved copy appropriately.
  2. Specify the exact item. Use SKU, item and size/color or unit to avoid variant confusion. Check availability separately before promising a delivery date.
  3. Review the price. Enter positive quantities and nonnegative unit prices. Enter shipping, tax and discount as amounts. The worksheet does not calculate jurisdiction-specific tax or convert currencies.
  4. Record payments separately. Enter only the cumulative amount actually paid and keep a payment reference. A requested deposit is not a received payment. For two payments, add them once to the cumulative paid amount.
  5. Confirm and preserve changes. Record the manual status and review date, agree any changes with the customer, then save a version. Use a packing slip for what is shipped and an invoice for an amount requested.

Worked example: check the result

Two T-shirts at $25 each plus one $20 cap produce $70 in items. Add $8 shipping, $0 entered tax and $0 discount: the order total is $78. Record $30 paid to date with its payment reference: $48 remains. All names and amounts are fictional.

Load the fictional example above to inspect the calculation. The Excel Filled example tab and the second PDF page use the same inputs. A blank form stays incomplete until the required rows and adjustment amounts are supplied. Enter 0 for a charge that does not apply.

Keep the original order intact during partial fulfilment

If one T-shirt ships first, the original request still shows two T-shirts and one cap. Record the parcel on a packing slip and keep the remaining quantities in an order tracker. Do not reduce the original quantity merely to match one shipment.

An overpayment stays visible

If the fictional customer pays $80 against a $78 order, the balance is -$2 and the worksheet calls for an overpayment review. It does not silently cap the payment or issue a refund.

What the form sends to the customer

The browser form is a local worksheet. Saving or printing does not submit it to your customer or your shop. Review the details, then share the reviewed file through your own process. It has no checkout, inventory reservation or order inbox.

Save, reopen and print

In the browser, choose Save on this device deliberately; entries are not saved automatically. Restore device copy retrieves that browser’s last saved version. Clearing browser storage or using a private window can remove it. Download JSON backup before switching devices or closing an important session, and store files containing customer or employee details appropriately.

For Excel, save a separate .xlsx per order. Reopen it and change one value to check recalculation before using it operationally. Select A1:H33 on the required tab, use landscape Print Selection and fit to one page. Column J contains row review messages outside that print area; fix them first. Ten rows are provided: do not extend the form without checking formulas and total ranges.

The downloadable PDF has a fixed layout. Browser Print / Save PDF uses your browser’s print dialog and may span more than one page; check every row and field in preview. The workbook has been recalculated and export/import tested with Artifact Tool. Native Excel, Google Sheets, physical printer output and real-phone behavior have not been certified.

OPTIONAL NEXT STEP

When one free worksheet is not enough

This free form captures one customer order. If you need to follow several orders alongside stock and sales records, inspect the Sales Management System's listed capabilities. It does not turn a submitted form into a payment receipt or automatically transfer the free worksheet's data. The free template stays available without a purchase; its files and backups do not automatically import into the paid product.
