What you can do

How to use this planner

  1. Use learner initials or a short label and describe the review period.
  2. Enter each subject, sample title and date.
  3. Add the actual external file/folder reference and a brief observation, or leave them blank to keep missing items visible.
  4. Check the referenced samples outside this worksheet, then export a portable index.

How the result works

Count work-sample records and subjects (ignoring letter case and outer spaces). Group the report by subject, then date. A missing file reference is flagged separately from a missing observation. Work-sample dates after the review date are rejected.

Worked example with fictional data

A Science record with a title and sample date but no reference appears as “Missing reference.” Adding a folder path changes it to “Reference entered”; this still does not establish that the file exists or contains the sample.

Limits to keep in mind

This index stores text metadata only; it does not upload, copy or preserve actual work samples. A reference is marked present when text is entered, not when a file has been verified. Missing references or observations remain open review items. The index is not proof of legal compliance.

Review the result before acting

  1. Open the referenced document and check it is the sample described in the index.
  2. Keep a stable folder naming convention so later reviews can find the evidence.
  3. Use attendance and subject-hour records as separate context; a sample count is not an attendance total.

Save, restore and export

Add entry creates another record. Edit any field directly or use Remove entry to delete a row. Changing inputs clears the previous report so it cannot be mistaken for current results. Choose Calculate / review results again when your changes are ready.

Save on this device keeps an editable worksheet in this browser only. On a later visit in this browser, your saved worksheet loads automatically. Restore device save can also reload the last save after you confirm replacement. Saving drafts is allowed, but a report requires valid, complete inputs. Download backup creates a versioned JSON file for the same tool. Import backup shows the worksheet label and row count before replacing current work; it does not change the device save until you press Save.

Download CSV exports the settings, summary, row details and calculation notes. CSV is for spreadsheet review; it cannot restore this worksheet. Print / Save PDF recalculates the current entries and opens your browser’s print dialog. Choose Save as PDF where supported. The report excludes navigation, guides and product CTAs. Clear data removes the current worksheet and its device save after confirmation; keep a backup first if needed.

Use a personal browser for private records and keep important backups separately. Entered worksheet fields are not included in our planner-action analytics.

Frequently asked questions

Are my child’s work samples saved here?

No. Only the entered text index is saved. Keep the actual documents in your own folders and back them up separately.

Does this checklist meet every state’s requirements?

No. Requirements vary. Use your own applicable record-keeping guidance; the worksheet only organizes the records you enter.

Is it free, and can I move my work to another device?

All worksheet features are free without an account. Save on this device keeps data in this browser; use an editable JSON backup to transfer it. CSV and PDF are reports, not import files. There is no cloud sync or background monitoring.
