Document Expiry Tracker & Renewal Calendar formulas

Start renewal = current expiry date minus chosen lead days. Days until expiry = expiry minus review date. The look-ahead window includes action dates from the review date through review date plus the selected number of days. The worksheet sorts active actions by renewal-start date.

Worked example with fictional data

A document expiring November 15, 2026 with 45 lead days has a renewal-start date of October 1. At an October 16 review it is 15 days overdue to start, even though expiry is still 30 days away. The example is an active record requiring follow-up.

Choose Load fictional example above to reproduce these results. Sample records are illustrative and are not a recommended target or policy.

Review the result before acting

Sort by start-renewal date rather than waiting for expiry. Assign an action owner, verify the source date and document what remains to be done. Keep original documents securely elsewhere; this tool stores labels and notes, not uploaded files. It provides no email, notification, legal determination or validity certificate.

What the planner does not cover

A renewal-start date is your internal planning date, not a verified contractual notice deadline. Provider processing time and calendar conventions vary; confirm the real source. “Renewal in progress” does not remove the old expiry. Only mark a record replaced or archived after checking the replacement; create a new active row for the new expiry.

Save, restore and export

Add entry creates another record. Edit any field directly or use Remove entry to delete a row. Changing inputs clears the previous report so it cannot be mistaken for current results. Choose Calculate / review results again when your changes are ready.

Save on this device keeps an editable worksheet in this browser only. On a later visit in this browser, your saved worksheet loads automatically. Restore device save can also reload the last save after you confirm replacement. Saving drafts is allowed, but a report requires valid, complete inputs. Download backup creates a versioned JSON file for the same tool. Import backup shows the worksheet label and row count before replacing current work; it does not change the device save until you press Save.

Download CSV exports the settings, summary, row details and calculation notes. CSV is for spreadsheet review; it cannot restore this worksheet. Print / Save PDF recalculates the current entries and opens your browser’s print dialog. Choose Save as PDF where supported. The report excludes navigation, guides and product CTAs. Clear data removes the current worksheet and its device save after confirmation; keep a backup first if needed.

Use a personal browser for private records and keep important backups separately. Entered worksheet fields are not included in our planner-action analytics.

On Android Chrome, device save stays in the same browser. Keep a JSON backup for portability. For PDF, use the browser print dialog and choose Save as PDF when available; printer and share menus vary by device. Physical phone behavior depends on the device and is not certified by desktop browser tests.

Frequently asked questions

Will this send automatic reminders?

No. Dates are calculated only when you review the worksheet. Add verified action dates to your own calendar.

Does “in progress” mean the document remains valid?

No. The original expiry still applies in this planner. Verify validity and any replacement outside the worksheet.

Is the start date a legal notice deadline?

No. It is expiry minus your chosen lead days. Check the actual agreement or issuing authority for required deadlines.

Is it free, and where is my information saved?

The worksheet is free without an account. Save on this device uses this browser’s storage; clearing browser data can remove it. Download a JSON backup for editable recovery. There is no cloud sync or automatic monitoring. CSV and PDF are reports and cannot restore the worksheet.
