A content marketing plan needs a production budget as well as a publishing calendar. Estimate the work for each deliverable, include review time and check the specific dates where that work must happen.

Use the free Content Production Capacity Planner to enter your own assumptions, calculate the report and keep an editable backup. No account is needed.

Start with one objective and a production window

Write one objective that connects content to a useful customer task, such as explaining a product setup or answering a buying question. Choose a short date range and the hours actually available for production each working day. Exclude meetings, customer service and other fixed work from that allowance. The worksheet supports weekdays or every day, with a horizon of up to 62 days. Equal daily capacity is a simplifying assumption; use separate reports when the available hours vary substantially.

Estimate work blocks rather than only finished posts

A deliverable needs research, drafting, visual work, review and corrections. Put those hours into the production estimate. Name both the production owner and the reviewer.

A large video that takes several days should be split into dated work blocks such as storyboard, recording and edit review. Each entered block belongs to one date, and the worksheet does not distribute it automatically. The destination or next-action note can name the eventual article, product page or publication checklist.

Find the overloaded day in a realistic example

The fictional sample has three production hours available on each of four weekdays, giving 12 hours across the window. A product explanation takes two hours on October 13 and a short demonstration takes another two hours that day. Total remaining load is only four hours, but October 13 is overbooked by one hour. Move a work block to another day or reduce its scope. Total window capacity alone would miss this deadline problem.

Keep completed work out of remaining load

Planned and In progress entries count toward remaining load. Complete entries remain in the report but do not consume the remaining-hour calculation. When a task is partly finished, update its hours to the work still required if you are using the report as a forward capacity view; keep a dated backup of the earlier estimate. The worksheet's completed-hour total reflects entered hours, not a time-tracking system. Decide on one consistent convention for your team and record it in the worksheet name.

Connect production to publishing and review

Use a separate publishing checklist to verify the facts, images, links and next step before release. The capacity planner does not publish, check permissions or validate claims. After publication, record an observed result relevant to the objective and review it at a sensible interval. A useful guide can support a product without promising that a fixed posting frequency will produce traffic. Keep the original clothing-brand calendar for content ideas and dates; this added worksheet answers whether the production work fits.

Questions about content production capacity

Does the tool check each person's capacity? No; it checks the entered daily production budget, with owner names retained for coordination. Can I include weekend work?

Choose Every day. Does marking Complete publish anything? No. Status is a local planning record, and all distribution happens in your own publishing workflow.

Move a task and recheck the deadline

In the fictional sample, two two-hour tasks on a three-hour day create a one-hour overload. Moving the full second task to another available three-hour day leaves two hours booked on each day and removes the overload. Confirm that its reviewer and publication deadline allow the move; the worksheet does not resolve those dependencies automatically.

Keep a version you can review

Save on this device keeps the worksheet in the current browser. Download a JSON backup for an editable copy before changing assumptions. CSV is a calculated report; Print / Save PDF produces a browser print copy. Device saving does not provide cloud synchronization. A static PDF needs its own annotation and backup workflow.
